DentScribe has released a new white paper examining how treatment coordinator conversations may reveal why diagnosed dental treatment goes unscheduled.
The notes track whether the treatment plan was reviewed, financial information and payment options were discussed, patient objections were addressed, scheduling was attempted, and next steps were assigned.
The analysis found that 46% of visits ended without an appointment recorded, while 36% did not mention a way to pay. Only 21% gave patients their own out-of-pocket figure. Complete conversations booked at 62%, compared with 10% for conversations covering three or fewer of the five case-acceptance essentials: plan, financials, payment options, scheduling, and next steps. The sample also included $65,696 in quoted treatment that remained unresolved and 98 office commitments without an owner or due date recorded in the note.
DentScribe cautions that the findings do not establish causation. However, the company says the data demonstrates the operational importance of completing the scheduling conversation, since a scheduling conversation that does not occur cannot produce an appointment.
The findings also indicate that cost was not always the primary objection. Patients in the sample more often asked clinical questions, sought reassurance, or wanted time to think, while fear and discomfort were the least consistently answered category.
